CallRail and Zapier connect to track calls and capture leads. You can trigger actions when calls complete or forms submit and create CRM records or send data to spreadsheets.
Prerequisites
To use the CallRail app on Zapier, you must have:
- An active CallRail account with any paid plan.
Connect CallRail to Zapier
To create an app connection to CallRail on Zapier:
- Go to the Apps page.
- Click + Add connection.
- A new dialog box will appear. Search for and select CallRail.
- Click Add connection.
- A new browser tab or window will open.
- Log into CallRail to authenticate.
- Grant Zapier permission to access your account if prompted to.
Your CallRail account is now successfully connected to Zapier.

Triggers
- Phone Call Completed - Triggers after an inbound phone call has been completed and its recording and transcription have completed and attached. It contains the full data about the call. This trigger should not be expected to be real-time and has a maximum delay of 20 minutes after the hangup before it fires. (Instant)
- Phone Call Started - Triggers when an inbound phone call is started. (Instant)
- Company Created - Triggers when a new Company is created. (Instant)
- Form Capture Tagged - Triggers when a form capture is tagged. (Instant)
- Session Tracker Created - Triggers when a Session Tracker is created. (Instant)
- SMS Sent - Triggers when an SMS message is sent. (Instant)
- User Created - Triggers when a User is created. (Instant)
- Phone Call Marked as Spam - Triggers when a phone call is marked as "Spam". (Instant)
- Phone Call Tagged - Triggers when a phone call is tagged after it has ended. To receive data about calls tagged via Automation Rules, Keypad Scoring, or a Call Flow, use the Phone Call Completed trigger. (Instant)
- Form Captured - Triggers when a form is captured. (Instant)

Limitations
- API Rate Limits apply. CallRail limits API requests to 1,000 per hour and 10,000 per day for general API requests, with additional limits for SMS (150/hour, 1,000/day) and outbound calls (100/hour, 2,000/day).
- API key app connections are no longer supported.
- When testing triggers, the sample data will not use live data from your CallRail account. However, you can edit test records.
- CallRail does not have a specific trigger for missed calls in Zapier. Instead, use the Call Completed trigger and filter by answered = false to capture missed calls.
- Because of the authorization method Zapier uses, the Zapier integration will appear as inactive in CallRail.
