Zapier offers different plans to suit your business needs. When choosing a Zapier plan, there are a number of plan features you should consider, such as: 

  • Number of tasks.
  • If it includes Premium apps.
  • Number of users you can invite.

Task usage

In a Zap, a successful action is referred to as a task. Each plan includes a different number of tasks. This is often the main consideration when selecting a Zapier plan. To define the number of tasks you'll need, consider:

  • The apps and workflows your business wants to automate. 
  • How often do those processes need to be run? Are they weekly, daily, or hourly?

You can automate your lead collection by connecting an app like Facebook Lead Ads to your CRM app and messaging apps. After your workflow triggers, each step of the process will use one task. Triggers do not count toward your task usage.

For the following Zap, when a new lead is received:

  1. Add it to my CRM app.
  2. Send a welcome message from my email app.
  3. Send a text message to our Sales team with the lead's name, email, and phone number.
This Zap has three actions and each action uses one task when the Zap runs. If you expect to receive 10 leads per day, that is a total of 30 tasks per day. In a month, you can expect to use 900 tasks. Only successful tasks are counted. 

You can estimate how many tasks you’ll use during your free Zapier trial. During your trial, you can build Zaps for your workflows and check how many steps each Zap uses. Then, multiply that by how often they’ll run to get an estimate of your regular usage.

Polling intervals

Your plan’s polling interval determines how often a Zap will trigger to check for new information from apps that use polling triggers. Plans have different polling intervals, from 15 minutes down to one minute. Consider how fast you need to send information from one app to another, then select the plan with the closest interval.

Premium apps

Premium apps are only available on paid plans. Some plans limit the number of premium apps you can use, while others give you unlimited usage. Check how many premium apps you need to use before selecting a plan.

Number of users

Team and Enterprise plans allow you to add multiple users to your Zapier account. Free and Pro plans allow one user only. Zapier does not recommend sharing login access to your Zapier account as that can compromise the security of your accounts. Consider how many people will need to use Zapier in your business.

Webhooks

Webhooks are automated messages sent between apps—a type of notification that includes detailed information about new items in apps. They can be used when an app you need does not have a Zapier app yet. Webhooks are only available in paid plans.

Paths

Paths allow a Zap to use conditional logic to take different actions depending on the information it receives from an app. Paths tasks do not count towards your account's task limit.

You can use paths to send different information to leads depending on what product they express interest in.

Autoreplay

When a Zap encounters unexpected information or an app returns an error, it can stop running and alert you to fix the problem. Autoreplay allows a Zap to retry steps automatically. If you have critical processes that cannot stop running, select a plan that offers this option.

Multi-users and admin features

Plans with multiple users offer different features to ensure the safety and security of your account. Features like sharing app connections, restricting folder permissions, and audit logs are only available in Team and Enterprise plans.
