Any Table steps that run in a Zap do not count toward your Zap task usage.

Decide how records should be sent to Zaps

How you add or update records to your table will determine how records are sent to Zaps.

How record is created or updated Default behavior for how records are sent Can you change the default?
You create or update records manually. Manually Yes
You set up a Zap to automatically create or update records.  Automatically No

Records created manually

When you connect a Zap to a table, it will show a new field called Record status. By default, your table will add a “Pending” label to any records you add or update. This ensures that you know which records have not been sent to Zaps and can send them only when you're ready.

You can change this setting so the table sends records automatically to your Zaps instead.

  1. Click the Settings icon
  2. In the Send records section, click Automatically.

Records created automatically via Zap

If a Zap creates or updates a record in the table, those records will not be set to pending. They will automatically trigger or continue any Zaps that are connected to the table. You cannot change this setting.

Manually send records to Zaps

When records are pending, you must take action to send them to Zaps. You can decide which records to send and to which Zaps, if you’ve connected more than one.

Send all pending records to all Zaps

When records are pending, the Send pending records button will appear at the top of the table. Clicking that button will send all pending records to all linked Zaps.

Send specific records to all Zaps

You can select specific records to send to your connected Zaps:

  1. Select the checkbox next to the records you want to send to your Zaps.
    • The button at the top of the table will now say Send X pending records, where X is replaced with the number of records selected.
  2. Click the button to send selected records to all Zaps.

Send records to specific Zaps

You can select which Zaps to send your records to.

  1. Select the checkbox next to the records you want to update.
    • To select all visible records, select the checkbox at the header of the table.
  2. At the top right of the screen, click the three dot icon. A dropdown menu will appear.
  3. Select Choose which Zaps to run. A dialog box will open.
  4. Select the checkbox next to each Zaps you want to send records to.
  5. Click Send to Zaps.

Ignore pending records

If you do not want to send a specific record to your Zaps, you can have the table ignore it.

  1. In the top right corner of your table, click the three dot icon. A dropdown menu will appear.
  2. Click Ignore all pending records.
    1. If you select specific records, the option will change to say Ignore X pending records, where X is the number of records selected.
