This feature is in open beta release. It’s available for use but still in active development and may change.
When you add Zapier Tables or a webpage as a knowledge source for a chatbot, it collects the information available at that time. If you make changes to the table or the webpage, there are two ways you can ask the chatbot to retrieve the new information:
- Manually re-sync the knowledge source.
- Re-sync on a regular cadence.
You will not see the Schedule button for file-based sources, such as CSV and PDF files.
Manually re-sync your knowledge source
If you make changes to a table or webpage and do not want to wait until the next scheduled sync, you can re-sync manually. This will update the knowledge source instantly.
- From the Chatbots home, click the name of the chatbot.
- Click the Knowledge menu.
- Click the three dot icon for the knowledge source you want to sync.
- Click Sync Now.
Schedule a sync for a single source
With this option, you can create different schedules for each of your sources.
- From the Chatbots home, click the name of the chatbot.
- Click the Knowledge menu.
- Click the Schedule button for your knowledge source. A dialog box will appear where you can set the frequency.
- In the Frequency dropdown menu, select how often the sync should happen:
- Daily (available on the Advanced plan)
- Weekly
- Monthly
- Use the date and time dropdown menus to select when you want the sync to happen.
- Daily: select a specific hour.
- Weekly: select the day of the week and the specific hour.
- Monthly: select a specific week of the month, a day of the week, and the hour.
- Click Save changes.
- Click Cancel to discard any changes.
Schedule a sync for all sources
With this option, you'll create one single schedule for all your Zapier Tables and webpage knowledge sources.
- From the Chatbots home, click the name of the chatbot.
- Click the Knowledge menu.
- Click the Schedule all button.
- In the Frequency dropdown menu, select how often the sync should happen:
- Daily (available on the Advanced plan)
- Weekly
- Monthly
- Use the date and time dropdown menus to select when you want the sync to happen.
- Daily: select a specific hour.
- Weekly: select the day of the week and the specific hour.
- Monthly: select a specific week of the month, a day of the week, and the hour.
- Click Save changes.
- Click Cancel to discard any changes.
