To create a Zapier workflow, you must connect your apps to Zapier. An app connection links to a single user account, and is reusable in multiple workflows.

What data can Zapier access in my app connections?

Zapier accesses only the data authorized for the account used in the app connection. Connecting an app to Zapier grants Zapier secure access to read and write data within that app. Zapier uses bank-level encryption to protect the credentials used to access your app accounts. Zapier only performs actions necessary to run your workflows in your app accounts.

How does Zapier access my app connections?

Zapier accesses app connections using the following authentication methods:

  • OAuth 2.0.
  • API key.
  • Basic authentication.
  • Session authentication.
  • Digest authentication. 

You grant Zapier access to your app’s data during the connection process. Zapier uses this access only for the data your workflows require.

Who can create app connections?

Anyone can create an app connection in Zapier. You can also share app connections with users of your Zapier account. Enterprise accounts can control which app connections are used in their accounts. 

Managing app connections

Identifying and differentiating connections

Zapier often displays usernames or email addresses to identify app connections. When these are unclear, you can rename them to be more descriptive. This can help describe their purpose or account type, like “Gmail — Marketing” or “Salesforce — Project Alpha.”

Consistent naming conventions keep your workspace organized and prevent confusion. Review app connection names regularly to ensure they remain relevant.

Organizing and maintaining connections 

When maintaining workflows, common tasks include reconnecting, replacing, transferring ownership of, and deleting connections. Each user can have up to 5,000 app connections. Maintain your connections by regularly reviewing and removing outdated or unnecessary ones.

Common app authentication issues

Authentication issues can occur due to several reasons:

  • Incorrect credentials: Double-check your username and password for typos when connecting your app.
  • Insufficient permissions: Ensure your app account has the necessary permissions and paid plan. You may need to contact the app’s administrator for assistance.
  • Expired app connections: You must reconnect your app connection if your password changed recently or if your organization enforced additional security controls.
  • Two-factor authentication (2FA): You cannot connect some apps if you enable 2FA.
