Create a new project

  1. Go to the Projects page or click the Projects icon in the left sidebar of your account dashboard.
  2. In the upper right, click + Create. A dialog box will appear.
    • In the Title field, enter a name for your project.
    • (Optional) In the Description field, enter a description of your project.
    • Click Create Project. The dialog box will close.
  3. Your new project will appear on the Projects page alongside any other existing projects.
  4. Select your project to open it. You will be redirected to your new project.
  5. (Optional) Use Canvas to diagram your project.
    • Click Create new canvas or Add existing canvas.
    • Your canvas will open in a new tab or window for editing.

Add assets to your project

An asset is any item you create using one of Zapier’s automation tools, like a Zap or a canvas. Adding assets to a project makes them easy to find and ensures they are shared with your project members.

Add a Zap

You can create a new Zap or add an existing one to your project.

  1. On the Projects page, select your project to open it.
  2. In the Assets section, click + Add. A dialog box will appear.
  3. Click Zap.
    • To create a new Zap, click Create Zap.
    • To add an existing Zap, click the Zap field, search for and select your Zap, then click + Add to Project.
  4. The dialog box will close and your Zap will appear in the Assets section.
  5. (Optional) Select your Zap to edit it.

Add a Canvas

Each project can have one canvas associated with it. If you did not add a canvas during project creation, you can create a new canvas or add an existing one.

  1. On the Projects page, select your project to open it.
  2. You will see the following options on the page:
    • Create new Canvas: a new canvas will appear on your Projects page. Click Open Canvas to edit it.
    • Add existing canvas: a new dialog box will appear. Click the Canvas field, then search for and select your canvas.
      • Click + Add to Project. The dialog box will close.
      • (Optional) Click Open Canvas to edit it.

Once a canvas is added to a project, you'll be able to access the project directly from the canvas and see the list of assets related to that project.

Remove assets

You can remove assets at any time. You must remove all assets before you can delete a project.

  1. On the Projects page, select your project to open it.
  2. In the Assets section, next to the asset you want to remove, click the three dot icon to open the dropdown menu and click Remove from project.

In the top Assets tab, you can review key metrics for your project, as well as share, edit, or delete your project.

At the top of your project, you can review metrics for the assets in your project:

  • Tasks: number of tasks used by Zaps in the last 30 days.
  • Zap runs: number of Zap runs in the last 30 days.
  • Success rate: number of successful runs in the last 30 days divided by total runs.
  • Errors: errors encountered during Zap runs in the last 30 days.

Share a project

You can share your project from the main Projects page or from within a project. This will share all assets associated with the project.

  • To share from the main Projects page, click the three dot icon to open the dropdown menu and click Share project. A dialog box will appear.
  • To share from within a project, click Share in the upper right corner. A dialog box will appear.

To share with an individual member or team in your account:

  1. Click the Add member or team field, then search for and select the person or team.
  2. Click the Role field to open the dropdown menu, then select a role for the person or team:
    • Editor: can edit and manage settings.
    • Viewer: can view the project but cannot edit or manage settings.
  3. Click Share.

To share with everyone in your account:

  1. Click the dropdown menu next to Anyone at X, where “X” indicates the name of your account.
  2. Select a role:
    • Editor: can edit and manage settings.
    • Viewer: can view the project but cannot edit or manage settings.

Stop sharing a project

You can remove access to a project at any time.

Remove individuals or teams

  1. From within a project, click Share project in the upper right corner. A dialog box will appear.
  2. Click the dropdown menu next to the name of the individual or team and select Remove access.
  3. The dropdown menu text will change. Click Are you sure? to confirm.

Remove account-wide access

  1. From within a project, click Share in the upper right corner. A dialog box will appear.
  2. Click the dropdown menu next to Anyone at X, where "X" indicates the name of your account.
  3. Select No access.
  4. The dropdown menu text will change. Click Remove project access? to confirm.

Edit or delete your project

You can edit the name or description of your project, or delete it.

  • To edit from the main Projects page, click the three dot icon to open the dropdown menu, then click Edit project.
  • To edit from within a project, click Options in the upper right corner. A dialog box will appear.

To edit:

  1. In the Title field, enter a new name for the project.
  2. In the Description field, enter a description of your project.
  3. Click Save changes.

To delete:

  1. In the Delete field, enter the exact name of the project.
  2. Click Delete.
Tip
  • You can also move Zaps to a project from the Zaps' original Zap folder.
  • In the main Projects page, you can click the three dot icon to open the dropdown menu next to a Zap to:
    • Rename it.
    • Move it to another project.
    • Delete it.
    • Duplicate it.
    • View its Zap history.
    • Change the owner.
    • Remove it from the project.
  • In the main Projects page, you can also toggle the switch next to a Zap to turn it on or off.

In the top Zap Runs tab, you can review all Zap runs that have occurred in the last 30 days.

Size limits

  • You may create up to 200 projects in your Zapier account.
  • Each project can have up to:
    • 1,000 Zaps.
    • 1 Canvas.

Project permissions

  • If Tables, Interfaces, and Chatbots are used in Zaps or a canvas in your project, they will appear as “linked assets”.
    • They will not inherit the user permissions set for the project.
  • When you remove a user from your account, their Zaps stay in the project and will be owned by “unknown”.
    • Users should remove their Zaps from a project before they leave the account.
  • You will only see information related to assets you have access to.
    • Any assets not shared with you will appear as "locked".
  • If you remove account-wide access to a Project, individual members or teams that you previously shared with will still have access.
  • Learn more about user role permissions in projects and assets.

Deleting

  • You cannot delete a project while it has assets associated with it.
    • Remove all assets before deleting your project.
  • If you need to delete a Zap used in a project, you must remove it from your project first.

Moving assets into a project

  • When you add a Zap to a project:
    • It will no longer appear in its prior Zap folder.
    • You must remove the Zap from your project before you can move it back into a Zap folder.
      • The Zap will move into your default My Zaps folder.
      • The Zap will no longer be shared with any other members of your account.
    • You can still search for the Zap.
  • After you remove a canvas from your project, it will still appear on the Canvas dashboard.
